Role Summary

At aidem, creative teams drive the work, but without the right systems, support, and standards, nothing ships. That’s where you come in.

As Head of Operations, you’re responsible for how we deliver, every day. You own the people, systems, and culture that keep us sharp and fast. Your job is to make sure every project moves forward with the right people, right tools, and zero friction.

You directly lead our Project Managers, Producers, Channel Managers, and Office Manager. You’re responsible for their performance, pace, and results. You don’t escalate problems, you solve them.

Required Skills and Experience

• You’ve led operations in a fast-moving digital agency or content production company.
• You’re Dutch-speaking and know your way around the TikTokified social media landscape.
• You know how to read a P&L.
• You don’t “try” to get things done. You make commitments and deliver results.
• You bring 5+ years of experience in project ops, production, or team leadership.
• You have a bias for clarity, quality and speed, not process for process’ sake.
• You bring a Day 1 mindset: things matter now, comfort kills performance, and nobody coasts. You move fast, solve problems early, and keep the bar high, every day, like it’s day 1.
• You don’t escalate problems, you solve them or delegate cleanly
• You hold people to commitments without micromanaging
• You have experience with project management tools (monday.com is preferred).
• You understand the client side, how brands think, what they need, and what makes them stay or churn. You can speak their language and translate their expectations into internal action.

Key Responsibilities

• Run the Delivery Engine
You run the operational engine, keeping projects moving, spotting blockages early, and clearing them fast. You monitor output across teams, departments, and headcount, and turn that into smart financial decisions and identify cost-efficient ways to deliver more with less.

If delivery breaks down, you don’t point fingers, you fix it. You don’t manage from the sidelines. You own the result.

• Own Client & Campaign Onboarding
You lead the operational side of onboarding new clients and new campaigns from existing clients. You make sure we kick off with clarity, speed, and structure. You align teams, tools, timelines, and expectations from day one.

• Know Our Numbers  
You know our numbers; staying aware of budgets, costs, cashflow and where time/money gets wasted. In other words, you protect our margins.

• Lead the Operations Team
You manage all ops leads: PMs, Producers, Channel Managers, Office Manager. You define clear KPIs, expectations, and accountability per role across the operations team and hold them to outcomes.

• Process & SOP building
You drive efficiency not just by hiring, but by improving systems, tools, and workflows that scale without bloating headcount. If something slows us down, you fix it or kill it. You document what matters and simplify the rest.

• Plan Capacity & Resources
You forecast work volume and align team availability. You move freelancers or make hires before we hit capacity issues, not after.

• Set our hiring strategy and own the recruitment process
You define hiring needs, run the process, and make sure every new joiner fits the aidem culture and work ethic.

• Strategic Partner to MT/Founders
You act as a proactive operational partner to MT/founders and department leads, translating vision into systems, surfacing risks early, and ensuring operational readiness matches growth plans.

• Track Output & Improve It
You define and track what “great delivery” looks like. Timelines, velocity, quality, client feedback, all tracked and improved where needed.

• Own Tools & Workflow Tech
You own the tooling setup that supports delivery, from PM software to asset sharing to security. You only use tools that speed us up.

• Guard & drive Culture
You build a culture where people show up strong and guard our culture against negativity and assholes.

• Human Resources
You lead our HR processes (onboarding, contracts, performance reviews) together with our Office Manager and other head of’s.

• Lead weekly reviews & Feedback Loops
You run weekly ops reviews, own KPI dashboards, and drive continuous improvement through structured team rituals. You drive the learnings and close the gaps. You don’t let mistakes repeat.
